This weekend during the regular maintenance window (Saturday morning 3 am to 6 am) we will be applying the monthly Microsoft updates to the New Orleans campus Email and the LSU Health FileS servers.  Below are the affected servers and expected downtimes.

  • Exchange 2010 Mailbox servers (N.O.) – about 1 minute of total downtime as mailbox databases are switched over to alternate servers and back
  • Exchange 2013 Multirole servers (Enterprise) – no anticipated downtime as all current roles are redundant
  • LSU Health FileS server (Enterprise) – about 10 minutes downtime during which users will be unable to send or retrieve attachments

Please be advised that we are experiencing issues with our Baton Rouge Internet connection.   We are actively working with our provider on resolution.

This outage is impacting all connectivity from external entities attempting to connect to resources in Baton Rouge.   While this list is not complete, some major resources impacted include:

 

         Citrix

         Remote VPN

         Moodle

         Blackberry

         Internet

         Intranet

         DMZ

On Sunday, November 13, 2016, we will begin using Microsoft Office 365 to host mailboxes for students admitted on or after the fall of 2016.  Your mailbox will be migrated to Office 365 this weekend.  This will not change your email address and much of your current email functionality will remain the same.  You will need to log in to Outlook Web App using your email address as your username, and your password is the same one you use to authenticate to an LSUHSC computer or website.

During the migration, select versions of older Android devices may lose connectivity to email.  If this happens, please recreate your ActiveSync profile.  If prompted for a server name, enter outlook.office365.com

Email archiving will function differently but we are hopeful that you will enjoy the changes.  Full documentation for Office 365 is available online at the link below.  Please continue to contact your local computer supporter or the IT Help Desk at 504-568-HELP (4357) for support.

This weekend during the regular maintenance window (Saturday morning 3 am to 6 am) we will be applying the monthly Microsoft updates to the New Orleans campus Email, Listserv, Archive and the LSU Health FileS servers.  Below are the affected servers and expected downtimes.

  • Exchange 2010 Mailbox servers (N.O.) – about 1 minute of total downtime as mailbox databases are switched over to alternate servers and back
  • Exchange 2013 Multirole servers (Enterprise) – no anticipated downtime as all current roles are redundant.
  • LSU Health FileS server (Enterprise) – about 10 minutes downtime during which users will be unable to send or retrieve attachments.
  • exchtmg - about 10 minutes downtime during which users will unable to access email from off network (including OWA and ActiveSync mobile devices). Email is still accessible through Citrix and Remote VPN.
  • Listserv-– about 10 minutes downtime during which users will be unable to send/receive/ subscribe/access Listserv lists.
  • NearPoint N.O. Email Archive servers - downtime is about one hour during which users will be unable to access Archive.

We have received responses from a few users this morning about not being able to connect with their mobile devices, and we are still working on correcting this.  Some have reported that restarting the mobile device was enough to get it working, and others needed the steps below of using "mail.lsuhsc.edu" for the servername, plus entering "lsumc-master\userid" for the username field.  Please try this out on any devices having trouble, and let us know the results.  And we will report back when the automated method is working again.

On Wednesday, October 12th, beginning at 10:00 pm, we will be moving the namespace for mail.lsuhsc.edu from the Exchange 2010 servers to the Exchange 2013.  The most noticeable difference for users is that they will see a different logon screen for Outlook Web App (see screenshot below) .  From a usability standpoint, everything else should be very much the same, since Exchange 2013 will mostly be proxying requests back to the Exchange 2010 mailbox servers where the users’ mailboxes will still reside.  This namespace change should not affect Shreveport users who use the sh-mail.lsuhsc.edu name to log into OWA.

The web address for connecting to OWA will not change – users will continue using https://mail.lsuhsc.edu/owa when connecting.  Please note that we are expecting about one hour of downtime for all email access (on- and off-network, and mobile devices) during this change.

Supporters who want to check out the new look can visit https://mailtest.lsuhsc.edu/owa and login to connect to their own mailboxes.

Please be advised that on Saturday, October 1st during the 3:00am – 6:00am maintenance window, Enterprise Networking will be performing network maintenance that will disrupt access to all production applications which are housed at the Department of Public Safety Data Center in Baton Rouge.   During this maintenance window, the following tasks will be completed:

 

  • End-of-Life border router supporting Level3 Internet connection will be upgraded
  • Data Center Core Router will have IOS software upgraded to address several critical bugs which will necessitate a reboot
  • Obsolete hardware will be removed from the POD and device configurations will be updated
  • BGP routing changes and testing will occur to enhance Internet outage failover

 

During the maintenance, access to the following major applications and resources will be unavailable for up to 60 minutes:

Postmaster is scheduled to take the LSUHSC Email Archive down to continue the problem resolution originally reported 9/15/2016. Downtime is expected to be 1 hour beginning at 8:00 PM tonight 9/26/2016. Only the Archive for the New Orleans campus will be affected, and all other email services should remain operational. I will update this group when the maintenance is complete.

The Production PeopleSoft Campus Solutions, HRM, and HR Reports applications will be unavailable beginning 6:00 PM, Friday, September 16th, until 10:00 AM, Saturday, September 17th due to a necessary upgrade. This upgrade will affect both Academic Self-Service and Employee Self-Service.

Once the upgrade is complete, you will notice a few changes including a new signon page and color scheme. 

In addition to the new look, the URLs for Campus Solutions, HRM, and HR Reports applications will change. Academic Self-Service and Employee Self-Service will remain the same. There will be a two-week temporary redirect for your existing Favorites to allow you to update the URLs. To update your saved Favorites, you can navigate to the desired page, create a favorite, and save the new URL. Remember to remove your old favorite. 

We appreciate your patience during the upgrade and apologize for any inconvenience the downtime may cause.  Once the upgrade is complete an email notification will be sent.

Mediasite will upgraded to version 7.0.28 on Friday, August 19, 2016 between 10:00am – 12:00pm.  During this time period:

  • Live streaming will not be available during the upgrade.
  • Anyone viewing content during the upgrade may experience slowness or disconnections as servers reboot and services restart.
  • Anyone attempting an upload during this time may have the upload fail; they will need to start the upload over.
  •  

Features and Bug fixes addressed in Mediasite 7.0.28

  • (Fixed) -   A live-stream could potentially be  marked “Private”, blocking all but the user who created the live-stream from viewing it. 
  • (Feature) Updates for browser compatibility.
  • (Feature) Improved ability for  “view” settings so that recordings can be changed from Private to Public at a scheduled time.
  • (Feature) Updates to allow for better storage management.

We have also received approval to shut down and migrate the virtual EXCHTMG server tonight.   Expected downtime for this particular server (only) is 12 Midnight to approximately 2:00 AM.   (Other servers listed below should still be expected to be down up until as late as 6 AM.)

While EXCHTMG is down, the following services are expected to be unavailable:

  • ActiveSync (Android, iOS devices)
  • Outlook Web App
  • Outlook access from off campus without VPN.

Outlook from off campus should remain available via the remote.lsuhsc.edu VPN, throughout, if your PC is configured for LSU Health Email. 

Outlook on-campus, unless you use Citrix for Outlook, will remain available.

LSU Health New Orleans issued BlackBerry devices should not be affected by this maintenance.

Early on Saturday August 13th, at 12:01 am, we are planning to shut down and migrate a number of virtual servers from their current blade server chassis, to our newest blade server chassis.    Below is a list of key servers and services that will be impacted.   For those that are listed, downtime could last up until 6:00 am Saturday morning.  

Downtime/Impacted 12:01AM – 6:00 AM, Saturday, August 13th:

1.)    PSFILESRVR – V-Drive, PeopleSoft Launcher, etc.
2.)    ENTFILESRVR – All New Orleans O-Drives and T-Drives
3.)    All LSUHSC-NO Citrix Resources – Due to its dependence on PSFILESRVR and ENTFILESRVR, all LSUHSC-NO Citrix could be unavailable/unusable for the duration of 12:01 am – 6:00 am.
4.)    PeopleSoft Financials Production – PS9FSSQL01 server virtualization.

Exchange 2010 Mailbox servers is about one minute for each exchange mailbox, for NearPoint N.O. Email Archive server’s downtime is about one hour, and for LSU Health FileS downtime is about 20minutes.

LSUHSC is currently experiencing an increase in Phishing emails and an increase in people succumbing to these emails by providing the perpetrators with their LSUHSC credentials. Responding to a Phishing email places all of LSUHSC in jeopardy.

Phishing emails attempt to trick individuals into divulging their user IDs, passwords, social security numbers, etc. If you are in doubt whether an email is a phishing email please send the email as an attachment (CTRL+ALT+F) to SPAM@lsuhsc.edu or contact your IT supporter for investigation.

Guidelines on phishing:

  • We don’t know your password and don’t need to know it to get our job done. We or any legitimate site would never ask for it, especially in response to an email.
  • Be very suspicious of requests to verify your account or mailbox for any reason, particularly due to exceeding limits or preventing deactivation.  LSUHSC IT knows owner and access information and does not need to ask you this in an email.
  • Never divulge your SSN, bank account, or other such sensitive information via an email. LSUHSC-NO already has all the information needed for administrative purposes. Legitimate sites will not ask for this information via email. 
  • Be suspicious of any email asking you to click on a link. Clicking on a link could install malware on your computer to be used by the perpetrator to gain access to the LSUHSC network.
  • Hover your cursor over all links in the email to determine if any of the URLs go to a web address other than the proposed sender’s site before clicking on the link.

In preparation for the upgrade to Sql Server 2014, the Server Group will be updating the operating system on the CS/HR PeopleSoft production process scheduler. This maintenance is scheduled to begin on Saturday, June 25th at 7:30am and last about 6 hours. During this time the Student(CS) and HR PeopleSoft Production and HR Report process scheduler will be down and we ask that you do not submit any processes. If a process is submitted it will stay in queued status until maintenance is finished and will then automatically run. If this maintenance time will create any problems please let me know as soon as possible.

This problem has been resolved.

This morning Shreveport started using a new circuit for the network traffic between LSUHSC-NO and LSUHSC-SHV. There have been issues reestablishing connectivity between the email hub transport servers in each site. ICMP connectivity has been restored, but it seems that the SMTP protocol is still not able to communicate. We are investigating. This is causing interruption of email flow from the internet to recipients at SHV and across the organization such as from sender in SHV to recipient at HCSD. That was earlier. At this time it is reported that SHV can email out to the internet and send outbound but they are not receiving incoming messages such as for instance from a sender in New Orleans to a recipient in Shreveport.

On Tuesday, June 14th, at about 7:30 am, we are scheduled to cut over to a new set of “PS Desktop” servers.   The new set of servers will be essentially identical to the existing PS Desktop servers, with the following minor exceptions:

  • The new set of servers will be running Citrix XenApp 6.5, whereas the current servers run version 6.0.   (Users will not be able to notice this difference, but it is listed here, FYI.)
     
  • The “Computer” name that is displayed on the “wallpaper” for informational purposes, will now be in the form of APP3xx, whereas previously users would have seen APP2xx.

  • For those users who need to log on to a published Citrix application via citrixweb.lsuhsc.edu, from within PS Desktop, they will need to find and use the following icon, inside PS Desktop:

  • The most significant change will be with Shadowing user sessions.   After this cutover, to shadow someone on PS Desktop, you will have to be logged on to PS Desktop yourself.   Similarly, to shadow someone on the clinical “Desktop-New”, you will need to be logged on to Desktop-New yourself.   You will no longer be able to shadow across the two types of desktops.    Also, to be sure that you are launching the correctly installed and configured shadow tool, be sure to select the Shadow Taskbar shortcut from the Start Menu, as shown below:

Please be advised that LONI will be performing maintenance in Stephens Hall on the University of Louisiana Lafayette (ULL) campus on Wednesday, June 25th, between 5:30PM and 6:30PM.   This maintenance has the potential to cause a brief outage to the following MPLS circuits which pass through the ULL Cienna switch :

  •  Baton Rouge to Lafayette Dental Clinic MPLS Circuit

No other impact to network services is anticipated based on information provided by LONI engineers.

Postmaster will also be failing over and performing maintenance on Exchange mailbox servers during the maintenance period between 3:00 AM and 6:00 AM Saturday May 7, 2016. Also during this maintenance, the NearPoint/LSUHSC Archive servers will be rebooted as well as the backend server for files.lsuhsc.edu. (Liquid Files). Downtime is expected to be up to a minute for each mailbox and about a half hour for NearPoint/LSUHSC Archive servers. Liquid Files downtime should be less than 15 minutes.

At 5:00 pm today, the Network group will test our new Level 3 Internet circuit in the DPS data center. If the testing is successful, we will start using this new circuit instead of our current LONI circuit for our DPS Internet traffic. During this maintenance, there will be a brief downtime (less than five minutes) while the traffic is moved to the new circuit.

At 7:00 pm this evening, the Network group will move our Internet connection to a new LONI router in New Orleans. This maintenance is necessary to troubleshoot recent Internet performance issues. During this maintenance, Internet connectivity through our New Orleans data center may be disrupted for up to 10 minutes.

Please be advised that LONI engineers will be performing maintenance on the MPLS circuit installed between UHC in Lafayette and the LSUHSC DPS Data Center on Thursday 4/28 at 6:00pm.   During this maintenance, LONI engineers will be physically moving this circuit from an end-of-life Cisco router to a new Juniper platform and making any necessary configuration changes.  

All connectivity between these two facilities is expected to be down for 15 minutes while this maintenance is performed.  Please let me know if you have any questions.

 Connections to Shreveport have stabilized but further disruptions could occur.

LONI has lost connectivity to their router in Shreveport and they are currently nvestigating.

 

Please be advised that this outage is impacting connectivity to the EPIC and RIS/PACs resources located in Shreveport as well as connectivity to LSUHSC Shreveport.

The PeopleSoft Financials upgrade is scheduled to begin at 12:00 p.m. on Friday.  The Production database will be unavailable from noon on Friday until 8:00 p.m. on Saturday.  The Reports database will be brought down during the day on Saturday and will be unavailable until Sunday morning.

On Saturday from 3-6am LSUHSC-NO Exchange will undergo maintenance.  Please be aware that 1 ½ hour downtime is expected for Archive as well as 15 minutes downtime for Liquidfiles.

The Production and Reports PeopleSoft HR/Payroll application will be unavailable Wednesday, March 23rd starting at 6pm for about 10 minutes for maintenance.  During the maintenance, both databases as well as Employee Self-Service will be unavailable.  An email notification will be sent when the system is available.

Postmaster will be performing monthly maintenance on both New Orleans campus mailboxes as well as the New Orleans campus LSUHSC Archive. This maintenance will occur between 3:00 AM and 6:00 AM Saturday March 5, 2016. Downtime for each mailbox is expected to be less than a minute but the LSUHSC Archive is expected to be down 2.0 hours.

Access to the V: drive has been restored. The folders with infected files have been deleted and restored from Wednesday night’s backup with a few exceptions. The following have not been restored, and restoration of data from these folders will require agreement on securing the folders and files to be restored.

An infected computer in Shreveport as has corrupted files on the V: drive that are accessible by everyone and domain users. Protected folders such as PeopleSoft have not been affected. We are in the process of developing a plan to restore data from the last good backup. In most cases that is likely to be Wednesday night’s backup, but some may data may be restorable from Thursday night’s backup. We will provide updates as new information is available.

In order to begin clearing the corrupted files and restoring from backup, all access to the V: drive has been removed

The Department of Public Safety Data Center (DPS) has scheduled preventative UPS maintenance for Monday, February 29th beginning at 5:00 PM. During this maintenance, the data center will transfer to backup generator power. No interruption in service is expected. LSUHSC Information Technology staff will continue to monitor all of the systems we support at DPS and staff will be available if issues arise

The issue with the MEB MDLs has been resolved:

2. MEB MDLs – We can no longer control the monitors in the some of the MDLs from the XPanel. The monitors are still usable if manually operated in these rooms. Troubleshooting still needs to occur.

We are having AV issues in two areas in the MEB and in the Chancellor’s Large Conference Room.

1. MEB Lecture Hall B – a WARP card (this does the blending of the images on the 2 projectors into one image on the screen) has failed so that only one image can be projected. The image is being displayed on the right side of the screen.

2. MEB MDLs – We can no longer control the monitors in the some of the MDLs from the XPanel. The monitors are still usable if manually operated in these rooms. Troubleshooting still needs to occur.

3. Chancellor’s Large Conference Room – The Spyder image processor is out so we have rerouted to one projector displaying the image on the right of the screen.

Tomorrow evening - Tuesday January 26 - the Production PeopleSoft Financials application will be unavailable for use from 5:30 p.m. to 6:00 p.m. while maintenance is being performed.  A reminder will be sent prior to start of the maintenance and notification will be sent once the system becomes available again for use.

When upgrading a system to IE 11, due to end of support for prior Internet Explorer versions, update patches for IE 11 must be installed in order for the "Archive LSUHSC" link to work in Outlook.

Temporarily, users effected can paste this link directly into their web browser to access Archive LSUHSC:
