Since we still haven’t received an ETR from LONI, we have failed over connectivity for Internet, EPIC and RIS/PACS to our Baton Rouge data center. LONI still hasn’t identified that the connectivity though our Baton Rouge data center is stable. Therefore, additional sporadic outages may be experienced.

Postmaster and DBA Support plan to take down the New Orleans Campus LSUHSC email archive as early as 9 PM this evening to install an update and reboot the SQL servers for Nearpoint.  We will be waiting for a backup to complete in advance of this maintenance and if it does not complete by 9 PM this maintenance will be pushed until later at night and I will update this group as these details evolve. This downtime is expected to last 30- 45 minutes. Only the LSUHSC archive for the New Orleans campus will be shut down, all other e-mail services will remain in operation. Please contact Postmaster@lsuhsc.edu if you have questions.

Epic will be down November 1st to handle the DST time change. EPIC will be disabled from 1:50AM until a little after the second 2AM. ADT Recovery will begin after the second 2AM.

Code Pelican will be activated during this time. Users should make sure their BCAs are up to date with the latest reports. Also, make sure the ADT staff is ready during this time period to do ADT recovery. ADT administration, please make sure your staff responses back to this message when complete or if they have no transactions.

Users will have Read Only and BCA reports during the downtime

At 5:00 PM on Wednesday October 21, 2015 the Juniper SSL VPN appliances at the DPS data center will be upgraded to the latest operating system. The appliances are configured as a high availability cluster, so there is no expected downtime. Thanks.

At 3:00 AM on Saturday October 17, 2015 the firewall appliances at the DPS data center will be replaced. During the maintenance external access to DPS data center resources will be lost. Users inside the network will retain access to DPS data center resources that can be accessed directly. Applications requiring the use of the Juniper VPN will not be available. Connectivity to DOC will be lost. Internet access from the HCSD Public Wireless SSID will be lost. Notifications will be sent before maintenance begins and upon completion of the maintenance.

A list of systems that will be unavailable from outside the network includes, but is not limited to:

  • Juniper SSL VPN (remote.lsuhsc.edu) and all applications accessed through SSL VPN
  • Citrix (DESKTOP and PSDESKTOP) and all applications accessed through Citrix.

LONI has temporarily restored the services, and it will work on a permanent solution later today. LONI will inform us before making any changes that could cause network disruptions.

Our ISP, LONI, just informed us that they have identified the cause of this outage and its engineers are working to resolve this issue as soon as possible.

REMINDER: Due to the Department of Public Safety (DPS) renovations, LSUHSC - NO IT will be moving all networking, server, and SAN equipment. We will experience a massive system outage from Friday, August 21st at 10:00 PM until Saturday, August 22nd at 9:00 AM. Systems could become available at various times during the night. A notification will be sent out upon final completion of the maintenance. All systems at DPS will be inaccessible. This includes but is not limited to

  • LIS – lab systemJuniper (remote.lsuhsc.edu)
  • Citrix (DESKTOP and PSDESKTOP)
  • CLIQ unless accessed outside of Citrix

On Thursday, August 13th, at 8:00 am, we will be cutting over to a new set of PS Desktop servers that will have newer versions of MS Office (Office 2010) and Adobe Reader (version 10).  All other PS Desktop software will remain unchanged.   Users who log on to PS Desktop after 8:00 am will be routed automatically to the servers with the newer software.    Users who have logged on prior to 8:00 am will need to log off PS Desktop and log back on, in order to be routed to the servers with the newer software.    Please let me know any questions or concerns

The server group will be performing a reboot/check disk on Sunday, August 9th  scheduled to begin at 3:00 am. In the past it has taken approximately 3 hours, but we are looking at a window from 3:00am-8:00am.

During this time Moodle will not be available.  Please let us know if you should have any questions or concerns.

Please be advised that on Tuesday July 7th beginning at 8:00am, vendors will be performing system maintenance on the uninterruptible power supply that provides battery backup to the New Orleans Data Center.  

While no downtime is anticipated as part of this maintenance, there is always the remote possibility that an unplanned outage could occur.  We will send out additional notifications before maintenance begins and once maintenance has been concluded.

The HMM pharmacy system will be going down, tomorrow Wednesday June 10th, at 10PM, to update the FDB for May. Expect a 2 hour down time. Watch your emails to remind you when to log out and when to log back into the system. Not remaining out of the HMM system during maintenance could prolong the downtime.

Utilize your downtime procedures. Reminder: Alert other departments who will be affected. (Nursing, Respiratory, and consider alerting local IT and others that may be beneficial)

1.     Patient Touch (PSS) will not receive any new orders for patients. (Inpatient ADT will come from Siemens, so it will NOT be affected). Nurses will still be able to document with Patent Touch device for existing orders.

2.     Pyxis will not receive new admit information nor any orders from HMM. ( 24hr facilities place on override)

System maintenance affecting batch processing in the PeopleSoft Financials Production and Reports instances will be performed between 7:30 and 9:30 P.M. tonight.  The online applications will remain available for use but no batch processes or reports will run. Processes previously scheduled to run and those that are submitted while the maintenance is taking place will go into a queued status.  The queued processes will begin running once the maintenance is complete.

Supporters,

The Enterprise Server group will be upgrading the host software on the physical servers where our New Orleans Mailbox Server Virtual Machines are located.  To avoid any issues with unexpected database failovers while our Mailbox Server VMs are moved between hosts, we will be intentionally moving the mailbox databases at scheduled times to allow the maintenance.  Today at noon will be the first database move, and some New Orleans users may experience a disruption of mail connectivity of about 30 seconds during each of these moves.  We will perform further moves at 7:00 am and noon over the next few days until all host servers are upgraded.

This is a reminder that the email system will down for maintenance this Saturday, May 30 2015 starting at 3AM.

Supporters,

On Saturday during the 3 am maintenance window, the Network Support group will migrate the load balancing services for hub transport/relay and client access Exchange servers from the Cisco CSM to the F5.  Downtime is expected to be about 30 minutes, and some time will be needed for queued mail to get caught up.  Below are the anticipated service disruptions that will occur during the migration.  We will be performing testing after access is restored to verify all functionality.

  1. All relay functions (all campuses) includes helpdesk and other programmatic messaging; if programs don't handle queuing then mail will be dropped and not delivered
  2. All message transfer through N.O. Hub Transport servers – inbound and outbound Internet mail, and messaging between N.O. and the other two sites.  Not affected will be HCSD to Shv and Shv to HCSD.
  3. All remote client access to New Orleans and HCSD mailboxes – Outlook Anywhere, OWA, ActiveSync and BlackBerry.  Shreveport will not be affected as they have their own Internet facing Client Access Servers.
  4. Internal client access to New Orleans mailboxes – Outlook relies heavily on CAS servers.  HCSD and Shv will not be affected as they have their own CAS

The time for power maintenance at DPS has been pushed back by a couple of hours.   LIS will be brought down at 3:00 AM.   All other critical systems should not be impacted.  Updates will be sent, once the power maintenance is complete.

On Sunday, May 24th, from 5:00 am to 11:00 am, there will be maintenance at the Department of Public Safety (DPS) data center to replace the failed UPS that caused multiple system outages on Thursday, May 21st .   IT staff moved all critical LSUHSC systems to an alternate DPS power source so we are not expecting an impact to any LSUHSC critical systems during this maintenance. Should problems occur during  the maintenance, we will have IT staff standing by.

The HCSD Laboratory Information System (LIS), a School of Dentistry file server LSUDS-NDSFS2, and a School of Nursing NSGARRA server will be offline during the maintenance.

Power has been restored at DPS and all systems are online. The failure of the UPS required that power be rerouted to bypass the hardware. When repairs to the failed UPS are completed, an outage will be required to route power back through the UPS. The timeframe for completion of the needed repairs is currently unknown. It is anticipated that the next outage will be scheduled to minimize disruption. In the meantime, some systems at DPS are running without redundant power.

IT staff are verifying the health of the servers and applications. It is possible that reboots could be required if application components did not start in the correct order following power restoration.

On Saturday May 16th during the 3:00am - 6:00am maintenance window, Enterprise Networking will be replacing core network components housed in the New Orleans Data Center. This equipment provides access to the following resources:

    • Wide Area Network (WAN) connectivity to the production Data Center in Baton Rouge
    • EPIC and RIS/PACs resources located at ISB and Shreveport
    • Internet and Internet2
    • New Orleans Data Center Resources
    • Siemens

LCRC

    • WAN Connectivity for LSU staff housed in this facility

LSU Healthcare Network (LHN)

    • WAN Connectivity to all sites

LSU Health Sciences Center (LSUHSC)

    • Local Area Network (LAN) connectivity to all LSUHSC Downtown Campus Buildings (ALH, CEB, CSRB, EPG, FOB, HDC, LEC, MEB, RCB, RH, RPG, STA)
    • WAN Connectivity to the Dental School Campus and to Children's Hospital
    • VoIP telephone services for HDC and RCB 7th Floor
    • Wireless to all Academic Campus

LSU Hospitals

    • LAN connectivity to all Hospitals (BCMC, ILH, LAK, LJC, and WST) and their associated clinics and ancillary facilities
    • HCSD Guests Wireless at all hospitals

During the maintenance, all of the above mentioned resources will experience some levels of disruptions depending upon the existing level of connectivity redundancy.   

It is expected that all hospitals (BCMC, ILH, LAK, LJC, and WST) that have redundant WAN connectivity to the Baton Rouge Data Center should only experience minimal disruptions as redundant WAN circuits will be utilized to access the aforementioned Enterprise Resources.  

Single point-of-failure services that solely rely on hardware installed in the New Orleans Data Center or remotes sites that only have WAN connectivity to the New Orleans Data Center will experience lengthier downtimes as hardware is replaced. Every attempt will be made to minimize the duration of outages for these resources:

    • Connectivity to LCRC
    • Connectivity to all LHN Sites
    • Connectivity to all LSUHSC Downtown Campus Buildings (ALH, CEB, CSRB, EPG, FOB, HDC, LEC, MEB, RCB, RH, RPG, STA)
    • Connectivity to the Dental School Campus and to Children's Hospital
    • HCSD Guests Wireless at all hospitals
    • VoIP telephone services for HDC and RCB 7th Floor
    • Wireless to all Academic Campus

This is a reminder about the upgrade to the Pharos PayPerPrint system scheduled for Thursday May 14th. During the upgrade, the system will be unavailable. The expected duration of the downtime and post-upgrade testing is one full business day. If you have not done so already, please notify the students that you support so they are aware of this downtime. I will also put a reminder on all of the release stations so that any student who visits a release station in the next week will see the message.

Please be advised that at approximately 3:16am this morning, we experienced a error on one of the fiber-optic modules in the core switch in the New Orleans Data Center.   This module supports redundant connections to downtown campus buildings and also supports the Academic and HCSD Metro Ethernet host circuits.   

As a result of this failure, connectivity to Dental School and Children’s Hospital was not available. In addition, connectivity to Bogalusa, Lallie Kemp, Leonard J Chabert, and LSU Interim Facilities (Depaul, ESU, Hop, LB Landry, and OB/GYN), was degraded as back-up circuits were being utilized to access resources.  

The issue was resolved at approximately 5:55am.

On Saturday, May 2 beginning at 8 AM, University Health will be moving to their own instance of Epic. While we have done everything possible to prevent a downtime for Epic at ILH and LAK, there will be some impact at these facilities including:

From 10:00 AM – 10:30 AM Saturday, May 2, ILH and LAK will be unable to scan documents to the BLOB server.

Haiku and Canto will be down during the downtime for all facilities.  It is anticipated to be back up by 4 PM on Saturday, May 2.

Interfaces will be rerouted for ILH and LAK, which will impact data feeds into Epic for up to ten minutes each.

Also, there will be a RIS downtime/maintenance this coming Saturday morning May 2nd at 8:00am. The duration for this downtime is estimated to be ~30 minutes. 

Shreveport/BRF is doing an upgrade to their RIS and we are re-pointing a couple interfaces during the same time frame.Please make sure that this info is passed on to your weekend staff so they will be aware.

PeopleSoft Financials Production, Reports, Archive and Pre-Production will be unavailable  while maintenance is being performed tonight from 8:00 PM to 9:30 PM.  During this maintenance, the LSU Health Network Team will switch the PeopleSoft Financials applications to a new load balancer. 

Users should log out before 8:00 PM.  Notification will be sent when the maintenance is complete.

Here is an update from LONI:

"The LONI network is currently experiencing a DDOS attack. We have employed counter-measures and are working toward a solution. We will pass along further information as it becomes available."

Our ISP, LONI, is experiencing Internet connectivity issues, and they are working to resolve the issues. The users will experience degraded Internet connectivity until the problem is resolved.

We will provide further updates as they become available.

The analysis of the hardware error was inconclusive.  The error was “unspecified” so we were not able to identify any specific hardware component that needed to be replaced.   After weighing all options, we made the decision to bring the system back up without changing to “B Degrade” mode or bringing the “B Box” up with the “A” Database and changing the IP address of B to A’s  IP address.  These options would have resulted in an additional 4 hours of downtime and risk the upgrade planned for 4/21.   Needless to say, upgrading the system on 4/21 is now mandatory.  Let’s hope we can make it until Tuesday.   Please be aware that we are still at serious risk with the current hardware.  We were not able to identify a root cause of the hardware failure today at approximately 2:55 PM and the issue may reoccur.   The cold reboot of LIS1 worked and LIS1 came back up without any errors.   All transaction between A & B are now caught up.  All AI Interfaces & IX Instrument interfaces are back up.  Our Hospitals are now in downtime recovery.

LSU IT is on the way to Baton Rouge now.  ETA 70 minutes. We will need to power down LIS1 and hope that it comes back up.  We are not sure what the exact issue is with LIS1 and disk sub system.  We are hoping that a cool reboot will resolve the issue.  We estimate that we will have a minimum of 90 minutes more downtime.  (Approximately 6:00 PM)    If the cold reboot does not resolve the issue, we will have to consider operating from LIS2  in "degrade mode" until the hardware issue is resolved.  We are working on several contingency options now and will let the team know as soon as we get more information.  Please initiate downtime procedures at your site until further notice.

This Saturday, we are preparing to upgrade our Exchange email servers to the latest rollup – RU9 for Exchange 2010 SP3.  Most of the upgrade process should be transparent to the users, due to the redundancy for most server roles.  We do anticipate about a minute of downtime for each Exchange database as it is failed over to another node, and again when it is failed back.  Since we need to coordinate the effort with Shreveport and HCSD supporters, we will be doing this maintenance on Saturday, beginning at 8:00 am in N.O., with the mailbox server updates probably starting before noon.

Two items for Saturday morning:

Postmaster will perform maintenance on Exchange Mailbox servers between 3:00 AM and 6:00 AM Saturday April 4, 2015. Downtime for any  given mailbox is expected to be less than 1 minute. Also we will restart Files.lsuhsc.edu which is expected to take not more than 10 minutes.

We will be upgrading our SSLVPN on Saturday, 4/4, between 3am and 6am. No downtime is expected.

When Help Desk tickets are opened or updated, notification emails are sent to the support group and end user listed in the ticket. It is possible to copy protected data from an application and paste that data into the description field of a help desk ticket. Currently, the description field will be included in all email notifications for the ticket. Protected data included in the ticket description field could be disseminated to a larger than intended audience if the notification email is forwarded to other recipients. To combat the potential for data leakage via Help Desk email notifications a new feature has been developed to prevent the description field from inclusion in notification messages. A new required field labelled “Case Includes Protected Data” will be added in production on March 23, 2015 at 6:15 p.m. to allow for the hiding of protected data. There will be a few minutes, expected to be less than 15 minutes, during which the Help Desk application will be unavailable. The attached document describes the new feature and shows where the field will be positioned on pages within the Help Desk system.

The PeopleSoft Financials Process Schedulers for both Production and Reports will be brought down for maintenance for one hour starting at 9:00 p.m. tonight.  Scheduled batch processes and processes submitted during the down time will remain queued until the process scheduler is restarted.  Once it is restarted, the queued processes will automatically begin running.

Note that this does not affect the online application and users can continue working as usual.  It does affect batch processes, such as reports, dispatching and budget checking.

Notification will be sent when the maintenance is complete.

Network Outage: Mandatory Maintenance HSCNO-R1 module reset Thursday at 5AM

Please be advised that LONI will be performing “mandatory maintenance” tomorrow morning at 5am to reset a module is the Cisco router located in our New Orleans Data Center. Downtime for this maintenance in New Orleans is expected to last no more than 7 minutes while the module reboots.

This maintenance has the potential to impact access to the following resources from the New Orleans Data Center:

  • Internet
  • Internet2
  • RIS/PACs
  • EPIC
  • LSUHSC Shreveport

Redundant access to these resources provided out of the Baton Rouge Data Center should not be impacted by this maintenance so users should not experience any downtime but may notice some degraded performance.

Tonight, during the normal 3:00 am to 6:00 am maintenance window, we will be applying Microsoft Updates to all of the New Orleans Exchange mailbox servers. The only disruptions to e-mail availability will be during service failovers, which generally take about one minute. There should be no more than two failovers for any given mailbox database.  We will send a follow-up message when maintenance is complete.

Microsoft released an Outlook app for iOS and Android last week.   Through testing and research, the following security concerns were identified with the app:

  • Does not honor ActiveSync policies
  • Stores credentials in the cloud, and If you change your password, the cloud service can cause account lockouts
  • Indexes and stores messages, calendar, and contact data in the cloud and on the device where the app is installed
  • Can share all mail attachments with personal cloud-based file sharing applications like dropbox, google drive, and one drive

As a result, we’ve tested and implemented a PowerShell command to block this application.  Users that attempt to use the app will be denied access, and may receive an email with subject "Your mobile phone has been denied access to the server via Exchange ActiveSync because of server policies" describing why they have been denied.

LSUHSC's Help Desk phone vendor will be performing maintenance Friday night and Saturday morning. While no phone outage is expected, voicemails delivered to the Help Desk might be delayed. The folowing is the notice sent out by our vendor (name excluded).

We will be performing critical maintenance on our systems beginning at 9:00pm Eastern (6:00pm Pacific) on Friday, January 30 and concluding at 9:00am Eastern (6:00am Pacific) on Saturday, January 31. During this maintenance window, we anticipate that some of our systems, including our website and control panel, may be impaired. Voicemail, fax and SMS notifications may also be delayed.  

While this window is unusually large, our aim is to keep the actual time that services are unavailable to a bare minimum. Additionally, we do not anticipate that your ability to make and receive calls will be impacted in any way.

We will be upgrading the New Orleans Academic Campus Wireless LAN controller software tomorrow morning, January 24th, at 5:00am. This is to address a known software bug in the current version. During the upgrade the AP’s will reboot in order download the new code causing brief wireless outages. The upgrade process will take up to one hour to complete. The buildings affected by this wireless outage are:
