What is OneDrive for Business?

OD4B is part of Office 365.  It allows users to store, share, and sync work files in the cloud.  Files can be updated and shared from any device with the OneDrive App.  The product also allows co-editing of Office documents.

How should OneDrive for Business be used?

OneDrive for Business (OD4B) should be used to store your work files for individual use with occasional sharing to other individuals within LSU Health. If you are looking to share files with groups of people or teams, a SharePoint Online team site may be more appropriate.

Can OneDrive for Business Files Be Shared with External Users?

No. External sharing is disabled for OneDrive for Business. You can send and request files securely with external users using LSUHealthFileS. You can also explore SharePoint team sites which allows sharing and collaboration on files with external users.

What are the differences between OneDrive for Business and your "O:" drive?

OneDrive for Business is cloud based file storage service provided by Microsoft Office 365. LSU Health does not maintain backups of OneDrive for Business. OneDrive for Business files are available using any internet connection and accessible via OneDrive mobile applications. Your "O:" drive is an LSU Health network drive backed up and supported by LSU Health infrastructure. Your "O:" drive is only available when you are connected to the LSU Health network.

Are OneDrive and OneDrive for Business the same thing?

OneDrive and OneDrive for Business (OD4B) are two different products.  OneDrive is intended for personal storage separate from your workplace.  Although they are different, both can be accessed through an app called "OneDrive."

How do I login to OneDrive for Business?

At the top of http://www.lsuhsc.edu, expand Quicklinks and select "Office 365."  Alternatively, navigate to http://lsuh.sc/o365 or http://lsuhsc.onedrive.com/ in a web browser and you will be redirected to the Office 365 login page.  After logging in, select the OD4B cloud icon.  This last step can be skipped when logging in through http://lsuhsc.onedrive.com

What web browsers work with OneDrive for Business?

For the best experience in OD4B, Microsoft recommends the latest version of Edge, Internet Explorer, Chrome, Firefox, or Safari.  In December 2016, Microsoft announced that users of Internet Explorer older than version 11 will begin to see diminished experiences as newer technologies are introduced.

How much storage space is available through OneDrive for Business?

Each user receives 5 TB of storage space in the cloud. However, if you are planning to use a large amount of storage space you should consider having a SharePoint team site created for the department or project related to the data being stored.

If I share my files with another user, will that user be able to share with other users?

Users granted read access to OneDrive for Business content are not allowed to share, but they can request that access be granted.  The OD4B owner will receive an email and can approve the requested access if desired.  Users granted edit access, however, have the ability to grant other users access to read or edit those same files or folders. Since OneDrive for Business is hosted in the cloud, are my files safe and secure?

LSU Health has a BAA with Microsoft which protects how Microsoft handles our data in the Microsoft Cloud. As a service user, you are responsible for using the service appropriately and following best practices. (Example: Only use devices secured with a password when accessing OD4B).

Can I Store Sensitive Data, Like PHI, in OneDrive for Business? 

LSU Health has a BAA with Microsoft which protects how Microsoft handles our data in the Microsoft Cloud. As a service user, you are responsible for using the service appropriately and following best practices:

  • To properly protect sensitive information, you must understand OD4B security and set it up correctly. You can review our OD4B tutorials here.
     
  • OD4B allows you to automatically sync your files across multiple devices. This means that sensitive data could inadvertently end up on an insecure machine. If you are going to put sensitive data on OD4B, we strongly recommend that you use extreme caution in syncing your data to any additional devices. Any device you sync sensitive data to must be encrypted and require a password. You can prevent synchronizing files by using OD4B only through the web interface.

Can I restore a deleted file?

In OneDrive for Business, deleted documents will be sent to the Recycle Bin where they are kept for approximately 90 days unless they are deleted or restored. If a file from the Recycle Bin is deleted it may be found in the Secondary Recycle Bin.   Files located in one of the recycle bins can be restored by the user.  We do not have tape backups of content stored in OD4B, so supporters are not available to restore permanently deleted files.  Review our tutorial on "How Can I Receive Alerts To My OneDrive Content?" in order to receive notifications that a file has been deleted. Click here for a tutorial on how to restore a file from the recycle bin.

Can I restore a previous version of a file?

Versioning is enabled in OneDrive for Business which allows users to restore previous versions of a file. When a file is deleted, the previous versions of that file are also deleted.  We do not have tape backups of content stored in OD4B, so supporters are not available to restore previous versions from tape backups. Click here for a tutorial on how to restore a previous version of a file.

NOTE: OneNote Online notebooks are not backed up and versioned like other files in OneDrive for Business.

Can I access OneDrive for Business from a mobile device? 

Yes, OD4B is accessible through the "Microsoft OneDrive" app available on iOS and Android.

NOTE: Only use devices secured with a passcode to access OD4B.

How should I move a OneNote notebook to OneDrive for Business or Sharepoint? 

OneNote notebooks should not be copied and pasted from one location to another.
